How it works

Everything you need to get set up and working your round from your phone. Start with putting the app on your home screen, it takes about 20 seconds.

Put it on your home screen

You don't download it from the App Store or Google Play. You add it straight from the website, and then it opens from an icon like any other app. You only need to sign in once.

iPhone

  1. Open Safari and go to windowcleaningmanager.co.uk/app
  2. Tap the Share button at the bottom of the screen. It's the square with an arrow pointing up.
  3. Scroll down and tap Add to Home Screen.
  4. Tap Add in the top corner.

Use Safari for this. Some other browsers on iPhone don't show the option.

Android

  1. Open Chrome and go to windowcleaningmanager.co.uk/app
  2. Tap the three dots in the top right corner.
  3. Tap Add to Home screen. On some phones it says Install app.
  4. Tap Add or Install.

Samsung Internet works too. Look for Add page to, then Home screen.

The icon is called WC Manager on your home screen. Open it from there each day rather than from your browser, it's quicker and it keeps you signed in.

Getting set up

It takes about five minutes. The app walks you through the first bits when you sign up.

  1. Start your free trial. Tap Start free trial, choose Start a business, and fill in your business name, your name, email and a password. No card needed.
  2. Add your business details. What work you do and your normal price per job. You can change these later in Admin → Settings.
  3. Set up your routes. A route is a group of customers you do together, like "Monday" or "North End". You can pick the day it runs and which weeks of your rotation it's on. Add more any time in Admin → Routes.
  4. Add your customers. Tap the + button on the Customers tab. Put in their name, address, phone number, price and which route they're on. If you already keep your round in a spreadsheet, you can bring the whole lot in at once from Admin → Import / Export.
Added customers before making a route? On the Today screen tap Put them on a route, tick who goes where, and move them all in one go.

A normal working day

Open the app and the Today screen shows the route for the day, in the order you drive it.

  1. Check today's route. If you've given your routes a day, the right one is picked for you. Otherwise tap the route you're doing.
  2. Navigate. Navigate this route opens the whole route in Google Maps with every stop in order. The Map tab shows everyone on a map if you'd rather see it that way.
  3. Let them know you're coming. On my way sends the next customer a quick WhatsApp or text.
  4. Tap Done after each house. Say whether they paid you there and then, and the app offers to send your "all done" message.
  5. Can't get to someone? Tap Skip and they're left off this round without being charged. If the weather stops you, Reschedule does the same for everyone left on the route and lets you message them.

The progress bar at the top shows how many you've done and who's next. Further down, Overdue customers lists anyone who's gone longer than usual without a clean, and the calendar shows which days you worked. Tap a day to see who was done.

Starting the next round

When you've finished a route and it's time to go round again, go to the Routes tab and tap ↻ Next round on that route. Everyone on it goes back to not done and unpaid, ready to start again.

Nothing is deleted. Every past visit and payment stays in History.

Adding your staff

  1. Go to Admin → Overview and copy your invite code from the Team section.
  2. Send it to them. They sign up at windowcleaningmanager.co.uk/app, choose Join with invite code and put the code in.
  3. They appear in your Team list straight away.

Staff can see the routes, customers and map, and tick jobs off. They can't see the Money or Admin screens, and they can't delete customers. If someone leaves, tap Remove next to their name and they lose access straight away.

How many staff you can add depends on your plan. Pro Solo is just you, Pro Starter is up to 4 staff and Pro Team has no limit.

Your messages

Every message the app sends, like "on my way", "all done" and payment reminders, can be written in your own words. Go to Admin → Messages, change the wording and tap Save. Your staff will send your version too.

Tap the tags under each message to fill in details automatically, like {name} for the customer's first name, {price} for what they pay and {pay} for your payment link and bank details. There's a preview underneath so you can see exactly what a customer will get.

Messages open in WhatsApp or your phone's own Messages app with the text already filled in, so they're sent from your number and replies come straight back to you.

Tax time

Go to Admin → Import / Export, pick the dates you want (a tax year, a month, or leave them blank for everything) and tap Export my data (CSV). You get your customer list and every visit and payment as spreadsheet files you can open in Excel or send straight to your accountant.
